Job Description: |
The Administrator shall:
- Perform all administrative jobs as prescribed and report to GM HR & Admin; Monitor Legal Affairs of Company in coordination with Senior Management.
- Follow up the Maintenance of Company Vehicles, control periodic Servicing, Maintenance, Repairs and general look-after; Monitor the movement of Transport Fleet and supervision of Vehicle Log-Books in close coordination with the Warehouse Manager;
- Ensure the Control and Maintenance of office premises;
- Supervise the housekeeping staff (maintenance/cleaning), and arrange janitorial services (when needed); coordinate with Units for external labor;
- Ensure follow-up of building & maintenance issues for general repair i.e. water-supply-line, water-storages, gas-line, electricity power supply, the factory lighting installations, drainage, office security, and other amenities; address any disruptions and arrange to ensure a quick response and log;
- Ensure the pre-approval processing, arranging, and the purchase of all office furniture, fixtures, and office supplies as per required specifications as needed in coordination with the related department or unit;
- Ensure the Security System in and around the Factory Premises, all the Warehouses and offices/units; help identify breaches of Security and make appropriate arrangements to avoid recurrence of identified risk events, and hold the record of Reports;
- Ensure the performance of the Security Guards for around-the-clock total Surveillance to achieve uncompromised security in and around the Factory, Head Office, and Warehouses;
- Ensure his availability in case of any emergency on the premises and moreover, coordinate with relevant Government Departments, GM HR & Admin and Management of the Company;
- Manage agendas / travel arrangements / appointments for the upper management;
- Manage Correspondence, emails, packages, etc., courier arrangements;
- Create and update Staff Records & database with personnel, financial and other data;
- Track The stock of Office Supplies and place orders whenever necessary;
- Manage events relating to the factory sales promotions etc.;
- Ensure support is afforded to the Kitchen Team/Staff for the smooth running of the Kitchen affairs and that the catering related expenses (exceptional or duly budgeted), kitchen routine activities (i.e. Kitchen staff, Crockery/Cutlery, Menu, Meat, and Grocery purchase, etc
- Carry out any other Administrative Task especially assigned by the Country Manager or Senior Management, in case of special administrative support
